Every supplier's website says the same three things: genuine parts, best prices, fast delivery. Since the words are identical, judge behavior instead. These nine tests reliably separate a parts partner from a phone-and-commission middleman — run them before your fleet depends on the answer.
The Nine Tests
**The part-ID test.** Send a photo of a worn part and your machine plate — no part number. A real supplier identifies it or asks precise follow-up questions. A middleman goes silent or guesses.
**The stock honesty test.** Ask what is physically in their warehouse versus sourced-to-order. Honest answers include the word "no" sometimes. Universal "yes, available" means available from someone else, marked up.
**The tier transparency test.** Ask for genuine AND aftermarket quotes on the same part number. A professional quotes both with brands named. Refusing to name the aftermarket brand is a red flag.
**The warranty-in-writing test.** What exactly is covered, for how long, and who pays return freight? If terms only exist verbally, they do not exist.
**The lead-time accuracy test.** Order something small and time it. A supplier who says "three days" and delivers in three days will do the same on the pump that stops your fleet.
**The technical depth test.** Ask why the part failed. Suppliers who understand machines help you stop repeat failures; box-movers just sell you the same part again.
**The paperwork test.** VAT invoices with your CR captured, part numbers on every line, and delivery notes that match. Giga-project and Aramco subcontractors cannot work without this.
**The bad-news test.** How did they handle their last wrong-part shipment? Everyone eventually ships a wrong part; character shows in the correction.
**The relationship test.** Do you have one named contact who knows your fleet, or a different voice every call?
Grade Your Current Supplier
Score one point per passed test. Seven or better: keep them and negotiate an annual agreement. Four to six: keep them competitive with a second source. Below four: your uptime deserves better.
